We recently introduced a new feature we call Channels. The system comes preconfigured with 4 Channels: Academic, Billing, General and Sign in/out. The Administrator can add more channels and customize the names and descriptions of existing Channels. When you send an e-mail you tag it with one or more channels. So for instance when you send a message about billing you can tag it with the Billing Channel.
When a parent or a student enrolls he now opts-in into receiving communications from one or more channels. The channel subscriptions appear in the enrollment form and in the record, so they can be easily updated. Administrators can change them from the Dashboard, and parents/members/students can change them from their self service portal.
Experiment with channels and let us know how you use them in your organization!!

The Enrollment Application form is the gateway to the school for new students. Therefore we always have had customization from the Settings menu. In our latest release we added even more… For example, in addition to the introduction, you can now customize the text for all four sections. You can even customize the name of the form itself; for instance is your organization more like a club? You can rename it to Membership Application. Or you can translate it to a different language altogether. Your change will reflect across the whole User Interface.
We also noticed that the configuration page was getting a little bit too daunting. So we moved the Enrollment Application Settings from the main Settings forms to its own form, reachable from submenu item, in the Enrollment Applications section.

All of us who send mass e-mails always worry whether we sent them to the right audience. It is very embarrassing when the message intended for one student makes it to the whole organization. As we have blogged in the past NeatSchool has a test e-mail mode. In this mode, the message comes only to you, along with a list of the intended recipients.
Recently we added another feature in the same direction. If your message will reach more than 10 recipients, an information dialog pops up that “double checks” that you really intend to reach so many recipients. The recipients are broken down by category to help you with the common case when you might be sending a message to partners when you did not intend to. If you are sure just press “yes” and the message will reach its recipients shortly. The same precaution is in place with SMS/test messages.

During registration many schools require a security deposit, usually equal to the amount of one month or one week tuition. This is used to pay for the last period of the tuition. Many of you had been asking how to track these deposits in NeatSchool. We are glad to share that we now have a screencast video that details how to deal with deposits.
You can find this and many other screencasts in stunning 1080p HD resolution online. They are linked from the Help section of your portal as shown in the attached image. Make sure you watch all the relevant videos before you start working with NeatSchool to take full advantage of the service.
NeatSchool records occasionally need your attention. For instance, you might need to process an enrollment application or respond to a lead generated at your marketing web site. NeatSchool reminds you daily with an e-mail about all these records that need attention. It also shows these records with a ribbon in the Recent Updates section. Today, we want to make sure that you noticed that we recently added a new Tasks panel in the Dashboard. The panel makes sure that the records that need attention are always in front of you when you login to the portal. The panel hides automatically when you do not have any tasks so do not be alarmed if you do not see it!!
Late summer and early Fall is the time that teacher assignments change, new students join and existing students change classes. Here is a checklist of NeatSchool tasks that you should consider performing to keep your system up to date ; all of them of course can be done any other time in the year as well.
▢ Ask any new staff members to apply at your NeatSchool’s staff application page (Example | Video)
▢ Make sure the list of classes is correct, add classes or make inactive the ones you will not use
▢ Ask new families that join the program to fill the enrollment form (Example | Video)
▢ Ask existing families with children who join the program to add the children from the “My Account” tab of the Parents Portal
▢ Terminate all students who have graduated or moved from your program (Video)
▢ Make sure that the assignment of teachers to classes is correct (Video)
▢ Move students to the next class (Video)
