E-mailing Parents and Staff August 31, 2010

Anybody who runs an organization or community has to constantly worry: Is my e-mail list up to date? In a school with multiple admins and teachers it is even worse. Does everybody responsible to send communications have the up to date e-mail list? Just the other day I was talking to a parent about NeatSchool and its capabilities. He was telling me how frustrated he is with the administration of the school his son attends. He has asked them three times to change his e-mail address but for some reason they send some e-mails to the new address and some to the old address; he knows becuase his previous employer in kind enough to forward them.

Today I will show how easy it is for an administrator to send a message to the whole school using the NeatSchool interface. I will also show how easy is for a teacher to send a message to her class.

Here are the three easy steps for an administrator: First, navigate to the e-mail dialog box that can be found in the operations menu of any Facility record. Then select ‘All Accounts’ and  press the e-mail button. Your favorite e-mail editor opens up. Fill the subject, message body and add attachments. Then press Send. That’s it!! In a few minutes e-mail messages are sent to all the e-mail addresses associated with the accounts and you receive a report e-mail. Optionally, you can just send a test e-mail to yourself or select just a subset of the accounts and staff members.

Here are the three easy steps for a Teacher: Search for a class record. From the class operations menu select e-mail. Make sure the right class is listed and press the E-mail button. The other two steps are the same as for an administrator. All parents with children in that class will receive the e-mail. Please notice that in both cases you did not specify any e-mail addresses. You just instructed the system to send the e-mail: to either a class or the whole school. The system did all the rest!!!

In my next posting I will discuss how easy it is to let the parents and guardians themselves keep the e-mail list up to date through the parents portal.

As an administrator, is great to know that the email addresses we have for our customers are up-to-date. I know parents will receive the email in a timely fashion and I can send the email from just about anywhere.
